FAR.AI is seeking a senior technical contractor to streamline and upgrade our event operations infrastructure.

About Us

FAR.AI is a non-profit AI research institute dedicated to ensuring advanced AI is safe and beneficial for everyone. Our mission is to facilitate breakthrough AI safety research, advance global understanding of AI risks and solutions, and foster a coordinated global response.

Since our founding in July 2022, we've grown quickly to 20+ staff, producing 30 influential academic papers, and established the leading AI Safety events for research, and international cooperation. Our work is recognized globally, with publications at premier venues such as NeurIPS, ICML, and ICLR, and features in the Financial Times, Nature News, and MIT Technology Review.

We drive practical change through red-teaming with frontier model developers and government institutes. Additionally, we help steer and grow the AI safety field through developing research roadmaps with renowned researchers such as Yoshua Bengio, running FAR.Labs, an AI safety-focused co-working space in Berkeley housing 40 members, and supporting the community through targeted grants to technical researchers.

About the team and the role

We run high-impact events that convene experts to tackle key challenges in our field. Our operations depend on robust, well-structured databases and smooth communication systems. We're currently upgrading our infrastructure and are seeking short-term senior support to move fast and set us up well.

Specifically, we’re looking for a senior technical contractor to streamline and upgrade our event operations infrastructure (within Airtable) over a ~3-month period. This includes cleaning up existing data, building automations, and ensuring clean data flow across tools that support attendee management, communications, and event logistics. There's potential for this to be a longer-term contract role if there’s mutual interest.

Key Responsibilities

  • Streamline and upgrade Airtable systems for tracking attendees, logistics, and speaker workflows
  • Identify bottlenecks and implement automations for currently manual tasks (e.g., visa and financial aid letters, speaker form tracking, attendee sorting/prioritization)
  • Design scalable, easily-maintainable systems for future events
  • Build robust comms pipelines
    • Build standardized, error-resistant systems for mass personalized communication (e.g., mail merges with transport/logistics/payment details)
    • Improve tracking and follow-up pipelines for attendee tasks (RSVPs, forms, onboarding)
  • Use AI tools to reduce repetitive tasks and boost team productivity
  • Maintain clean, real-time data across platforms like Airtable, Swapcard, Sheets, and Slack
    • Manage syncs between Airtable and platforms like Swapcard and Slack
    • Create robust interfaces for data visualizations
    • Support creation of speaker/moderator documentation using structured data, and conversion of relevant information to Sheets
  • Coordinate with technical contractors as needed for custom integrations (e.g., APIs)

Who You Are

  • Experienced with Airtable (or ability to become rapidly familiar), scripting, automation no-code tools, and modern AI assistants
  • Skilled programmer comfortable with both code and no-code tools. Bonus: Prior experience in events-focused systems
  • Systems thinker who designs for long-term usability and team-wide clarity (for technical and non-technical users)
  • Proactive; identifies and fixes issues without being prompted
  • Can work independently and prioritize high-impact improvements
  • Strong communicator who can interface effectively with technical and non-technical teammates

Logistics

You will be an independent contractor with FAR.AI, a 501(c)(3) research non-profit.

  • Type: Contractor (3 months, with possibility of extension). Ideally available beyond the initial contract for occasional paid maintenance
  • Location: Remote or in-person, as long as able to work US timezones
  • Hours: Full-time (40 hours/week) strongly preferred
  • Compensation: $50 - $80 (hourly) depending on experience and location.
  • Hiring process: A short exercise, a paid task test, and a short call with hiring manager, followed by reference checks.
